Automated lead follow-up: build a routine your team can keep

Use lead records, ownership and team reminders to follow up consistently without confusing reminders with outbound automation.

“I'll think about it” does not always mean no. It may mean the customer needs a detail, another person's input or a better time to talk.

Follow-up works best when the team remembers that context. Automation can help with capture, reminders and prioritisation, but it should not turn every enquiry into a generic message sequence.

Separate reminders from customer messages

A reminder tells your team that a lead needs attention. An outbound message contacts the customer. Those are different capabilities with different expectations.

Give each lead a next step

After the first conversation, record the customer's need, the open question, the person responsible and the intended next action.

That action might be a phone call, a staff-confirmed visit or sending an answer the assistant could not verify. “Follow up later” is too vague to manage.

An enquiry without usable contact details is not ready for a callback. An unanswered question should not be marked high intent just because the assistant offered one.

A practical routine

Use this as a staff checklist, not a preconfigured automation schedule:

  • After an enquiry, answer the question and confirm what happens next.
  • If the customer is undecided, follow up with useful information relevant to their request.
  • If they propose a visit, confirm the details with the person managing the schedule.
  • If they decline further contact, record that and stop.
  • If they remain interested, agree on a sensible next contact rather than repeatedly asking for an update.

Never invent a stock shortage, discount deadline or delivery promise to create urgency.
