Missed enquiries at schools and clinics: a front-desk problem

Help a busy front desk answer routine questions and capture admission or appointment requests without overpromising.

A school office or clinic reception handles people who are already there while new enquiries arrive on the phone and website. Both deserve attention, but one person cannot answer everything at once.

The aim of an AI assistant is not to replace that person. It is to answer routine questions from approved information and preserve the requests that need a human response.

Separate information from decisions

Schools can publish clear information about curriculum, the admission process, documents, transport routes and campus visiting arrangements.

Clinics can publish administrative information about services, locations, opening hours and how to request an appointment.

Some questions still require confirmation. A school place is not guaranteed because eligibility guidance matches. A doctor's published hours do not prove an appointment slot is available. An assistant should make those differences explicit.

Make the content usable

Keep each fee beside the programme or service it belongs to. State the academic year or effective period where relevant. If branches have different hours or transport coverage, name the branch in the same section.

A well-organised short set of accurate answers is more useful than a long document mixing old policies with current ones.

Review what the assistant says when the answer is missing. It should identify what needs checking and offer an appropriate next step, not make up a rule.

Capture a request without over-collecting

For an admission enquiry, the intended grade, residential area and a parent or guardian's preferred contact may be enough to start.

For a clinic appointment enquiry, collect the minimum administrative details the team needs to respond. Do not ask visitors to post detailed medical histories into a public sales chat.

The assistant should not diagnose, prescribe or treat a symptom conversation as a sales opportunity. Clinical questions belong with qualified staff.

Review the unanswered questions
