Real estate lead follow-up: a system for the weeks after enquiry

A stage-by-stage staff workflow for property enquiries, visit requests and the questions buyers ask afterwards.

A buyer may compare projects, discuss finance with family and revisit a location before deciding. One brochure and one missed call are rarely enough to understand where they are in that process.

A good follow-up system helps your team continue the right conversation. It should not manufacture urgency or claim to know a buyer's intent from a single message.

Stage one: understand the enquiry

Record the project, configuration, approximate budget and questions still unanswered. Clarify whether a location or price refers to your offering before sharing details.

Keep the original question with the lead. A phone number alone tells the next executive very little.

Stage two: arrange a visit with a person

Ask about a convenient time, then check it against the team's schedule. Send a confirmation only after staff have accepted the booking.

Stage three: record what happened

After a visit, update the lead's status and note the configuration discussed, open questions and agreed next step.

Do not leave a no-show marked as a completed visit. Do not infer a booking from a positive chat. Reporting is only useful when the underlying outcomes are recorded accurately.

Stage four: follow up with relevant information

Staff can answer the outstanding question, offer a second visit or share a genuine project update. Avoid generic broadcasts that ignore the buyer's requirements.

A payment plan or possession date should come from current approved project information. Never invent limited availability or a price increase to force a decision.

The appropriate timing depends on what the buyer requested. Record their contact preferences and stop unwanted follow-up.
